PolyMAC 2008 Conference Information

The 38th Annual PolyMAC Meeting will be held at the Livermore, California site of Sandia National Laboratories on June 17-19, 2008. Currently, the meeting is scheduled to end by lunch on Thursday June 19. See the Agenda for more information.

Presentations

Titles and abstracts (Microsoft Word format) are now being accepted. Early submissions are encouraged. For more information, visit the submissions page.

All unclassified presentations will be held in building 915, room W133. A clearance is not needed for this area of the building. A room has also been reserved in the classified area on Wednesday, June 18, if needed.

Foreign Nationals

Foreign nationals are welcome to attend the conference. Please notify the meeting organizer, LeRoy Whinnery, as soon as possible to begin paperwork. A new process for Foreign National Requests (FNR) will be implemented in April; this is guaranteed to cause delays and uncertainties. If necessary, foreign nationals may be asked to vacate the room for export controlled presentations.

Visiting Sandia/CA

The East Avenue Corridor

If you have not been to SNL/CA in a while, you will notice that access to the site has changed. East Avenue, the main road into the site, is now closed to the public and serves as a gate to both LLNL and SNL/CA.

If you have a DOE badge, you may proceed to the security checkpoint without visiting the Badge Office. Show your badge to the guard and pass through the security checkpoint into the East Avenue Corridor (EAC).

If you do not have a DOE badge, if you have a site-specific badge that is not valid at SNL/CA, or if you forget your badge (please don't forget your badge!), you must visit the Badge Office before you stop at the security checkpoint. Badge Office parking is located on the right-hand side of East Avenue, just before the guard booths.

Turnstile access

At some point during the first day, if you do not have a PIN for turnstile access to the SNL/CA site, you should stop by either the East Avenue Badge Office (East Ave. & Vasco Rd., SE corner) or the Visitor Control Office (Bldg. 911) to be entered into the system. This will allow you to swipe your badge at the turnstiles on the way to the meeting room. We plan to have a guard or volunteer available to provide turnstile access to badged visitors at the turnstile closest to the conference room from 7:30-8:30 am on Tuesday only. This turnstile is located in the SE corner of the parking lot beside Building 914.

Q-cleared visitors can enter through Post 1, by Visitor Control (Bldg. 911), where the guard will check your badge. Then proceed through the classified side of building 915 into the unclassified side.

Navigating the site

The instructions below will help you get to the meeting location.

Parking
  1. After passing through the security checkpoint, continue straight down the East Avenue Corridor (EAC).
  2. Turn right at the West Entrance (first right).
  3. At the stop sign, turn left. At this point, you can walk to the conference location from any parking spot.
  4. For the most convenient parking, continue to the next stop sign and turn right.
  5. Park in the lot on your left. Some spots may be reserved for PolyMAC Attendees.
The Meeting Room
  1. Pass through the turnstile in the southeast corner of the parking lot, to the left of the mobile buildings.
  2. Continue toward your left until you reach Building 915, the Distributed Information Systems Laboratory (DISL).
  3. The meeting will be held in Room W133 in Building 915.

Rules & Regulations

Vouching

Vouching is currently allowed at SNL/CA. It is the responsibility of the person vouching to check the badge of the person they are admitting through the turnstile and remind them of prohibited items. All uncleared visitors must be accompanied by an escort wearing a red escort badge.

Electronic Devices

Personally owned cell phones, PDAs, iPods, mp3 players, memory sticks, laptop computers, and cameras are not allowed in most areas of Sandia. Please leave these items in your car. DOE-owned computers, cell phones and USB drives are allowed in the PPA. Cell phones are never allowed in classified areas.

Tobacco Products

Sandia is a smoke- and tobacco-free facility. Please do not bring cigarettes or tobacco of any kind on-site.

Vehicle Searches

Everyone who enters Sandia/California is subject to random car searches. If you are selected, a protective force officer will ask you to pull over to the curb; open the hood, trunk, and glove compartment; and step out of your car. Follow these directions, and in most cases, you will soon be on your way again.
